FOIAdesk is the software a public agency uses to receive and answer records requests. This notice explains, in plain terms, how information is handled when you use a portal built on FOIAdesk.

Who is responsible for your request

When you file a records request through a portal, the agency you are requesting records from is responsible for that request and the information in it. FOIAdesk provides the software the agency runs; we process the information on the agency's behalf and under its instructions. The agency's own records and privacy practices govern what happens to your request.

What is collected when you file a request

A records request typically includes the contact details you provide (such as your name and email), the description of the records you are asking for, and the dates and status updates the system records as the request moves through the agency's workflow. This information is used to process and respond to your request.

How it is used

Information you submit through a portal is used to handle your records request — to acknowledge it, route it inside the agency, prepare a response, and keep the statutory deadline clock. It is not sold. FOIAdesk does not use the contents of a request for advertising.

These public marketing pages are intentionally lightweight. They are prerendered static pages and do not require you to sign in or submit personal information to read them.

Your records and public-records law

Records requests and their handling are governed by public-records law in the agency's jurisdiction. Some details of a request may themselves be subject to disclosure or retention rules set by that law. The agency, as the body responsible for your request, can tell you how those rules apply.
